Hi! I am the Chair of the Zone 8 Insurance and Protection Committee. Regarding the safe storage of documents I am following up a suggestion arising from the DIO/DYPO Workshop in August that Zone 8 should “buy into” the safe electronic documents storage organised through the North American Youth Exchange Network (NAYEN) which contracts with a commercial organisation who is compliant with EU standards (tightest in the world). I have tried this approach, but found it wanting: am now considering that we should just use a commercial operator, preferably based in Australia. My feeling is that we could potentially do a good deal if we cover all Districts in Australia, New Zealand and south pacific islands, with the cost part of the costs of running the Zone Insurance Program: we have funds in place to kick it off. Key would be to ensure that documents are filed on a “District” basis (with limited access per District) and are easily “findable” for our successors.

  1. Hi Kudzi,

Can you please contact Peter directly on his email. The internal messaging system only messages the specialist team.

    Kind regards,

  2. Hi,
Per you ticket, I understood that you’re looking for a solution that is compliant with EU standards, easy to use, and affordable for all districts in Australia, New Zealand, and the South Pacific islands. You’re considering using a commercial operator based in Australia to store documents electronically, rather than using the NAYEN system.

iManage is my top recommendation due to its robust features and compliance with European Union standards, such as GDPR. By leveraging iManage’s local Australian instance, you can ensure that your sensitive data remains within the country, addressing potential concerns related to data sovereignty.

Alternative Options: While iManage is my preferred choice, it’s worth exploring other reputable solutions that may align more closely with your specific preferences or budget constraints. Consider the following alternatives:
    1. Dropbox Business: Offers a user-friendly interface and robust security features, making it a popular choice for many organisations.
    2. Google Workspace: Provides a comprehensive suite of productivity tools, including Google Drive for document storage and collaboration.
    3. Box: Known for its enterprise-grade security and compliance capabilities, Box is suitable for organisations with stringent data protection requirements.
    4. OneDrive for Business: Integrated with the Microsoft Office suite, OneDrive offers seamless integration and collaboration within Microsoft environments.

To learn more about iManage or any of the alternative solutions, I’d encourage you to schedule calls with respective service providers to discuss your requirements in detail. You can explore the specific features, pricing, and implementation process of each option to help you make an informed decision.

I am happy to join these calls if required.

    Best regards,
    Kudzi
